Description of Responsibilities: As the Bookkeeper/Office Manager you’ll be an indispensable part of daily operations including handling daily bookkeeping, grant and fundraising administration. You’ll quickly become a central source of financial information and your efforts, attention to detail and positive energy will support The Firecracker Foundation’s mission. By assisting the Executive Director with grant proposals and administration, you’ll learn the ins-and-outs of this vital part of a non-profit organization. Reports to the Executive Director. Click here for a PDF version of this job posting.

Time Commitment: 15 hours/week.
Compensation: Non-exempt part-time, $15 per hr.

Primary Job Duties Include:

Bookkeeper:

  • Enter deposits, pay and mail bills, track receipts, maintain financial records and manage accounts receivable
  • Reconcile all bank accounts and month end accounting, troubleshoot financial data entry including daily retail sales and tuition questions
  • Support the Treasurer in the preparation of financial statements for the foundation’s accountant to support the preparation of tax returns, quarterly taxes, annual licensing, permits and other governance documents.
  • Prepare monthly financials for Board of Directors and Finance Committee, including profit and loss statement and balance sheet
  • Prepares bank deposits at minimum one time per week

General Office Management:

  • Provides general administrative support to the Executive Director
  • Grant administration and invoicing – track grant status and create invoices and financial reports
  • Develop and maintain all filing systems to ensure security and appropriate access
  • Track and procure office supplies and equipment
  • Purchases office supplies
  • Provides post office needs including purchasing of stamps and mailings
  • Provides support for agency meetings and events. May include securing a venue, distribution of meeting materials, purchasing food, managing the guest/RSVP list, etc.
  • Assists in the coordination and completion of the foundation’s annual appeal

The ideal candidate is a multi-skilled self-starter, independent worker and problem solver who is energized by the unique opportunity to grow with the position, furthering their learning, expanding their skill set and building community in the work place.

  • 2- 5 years experience with small business accounting; non-profit bookkeeping experience highly preferred
  • Extensive QuickBooks Pro & PayPal experience
  • Proven proficiency in Word, QuickBooks, Excel and database management
  • Experience with Salesforce a plus, not required
  • Proven initiative and accountability
  • Able to multi-task and maintain status on related projects
  • Self-Directed
  • Flexible, compatible and able to work with interruptions
  • Excellent written and verbal communication skills
  • Efficient, tactful, pleasant, firm and patient
  • Adaptability and desire to increase knowledge and skills

Share your story as the Survivor Keynote for this year’s Stargazing 2017 celebration!

As a part of the foundation’s anniversary celebration, an adult survivor shares their personal story of healing. The goal of this presentation is to help improve this community’s understanding of the complex and diverse paths to survival for those who have experienced sexual trauma. The Survivor Keynote helps our community understand the importance of The Firecracker Foundation’s holistic healing services for children and families in the tricounty area.

In order to be considered, your full written presentation (1-2 pages) and powerpoint (10 slides or less) are due by March 15, 2017 at 8 p.m. EST to be considered. If possible, also include a photo of yourself and a short bio of 400 words or less. Please note that if chosen, you will be asked to commit to rehearse with foundation coaches for 1-1.5 hours a month in April, May and June (place & time TBD) with a final dress rehearsal performed in front of the foundation Board of Directors on July 18th, 2017 at 6:15 p.m.

The keynote selection process will be March 16 – April 15. During that time, applicants may be contacted to schedule an interview with members of the selection committee. The selected Survivor Keynote will be asked to submit to a background check prior to being allowed to perform in this role. A final decision will be announced in April 2017 and every applicant will be contacted with the results.

PART TIME – VOLUNTEER ADMINISTRATIVE ASSISTANT

Description of Responsibilities:

The Volunteer Administrative Assistant (Admin) provides administrative support to the organization.  The Admin works directly with the Bookkeeper/Office Manager (BOM) and Executive Director (ED) in order to support the organization’s administrative needs.

Time Commitment: This job description is a part time volunteer position for The Firecracker Foundation. Estimated time commitment 10 hours/week. Position may be shared among 2 volunteers.

Job Requirements:

The Administrative Assistant should have professional experience in the following areas:

  • Excellent communication skills in-person and on the phone
  • Excellent organizational and filing skills
  • Ability to coordinate and balance multiple projects
  • Proficiency in Word and Excel: proficient in developing and maintaining databases; ability to create and manipulate spreadsheets; perform mail merges
  • Excellent writing skills

General Office

  • Provides general support to the Bookkeeper/Office Manager
  • Answers all office phone calls and directs calls appropriately
  • Maintains general office files and files necessary paperwork accordingly
  • Follows up on all agency emails from website
  • Sorts mail and distributes appropriately

Fundraising/Grant Support

  • Updates the foundation’s donor database as directed
  • Prepares thank you letters for ED and/or Board signatures; ensures proper filing and mailing of all thank you letters
  • Attends all fundraising events as needed

PR & Marketing

  • Ensures that all marketing materials are in stock and ensures proper presentation of materials for distribution
  • Monitors website for updating and accuracy – directing additions/changes to the webmaster
